A day in the practice
This guide maps the full patient journey through Healthbridge Nova, from arriving at the practice to the invoice being submitted. Use this as your orientation map when you first start using the system, or share it with new staff to show how all the pieces connect.

The patient journey
● Before the appointment

Log in
Open Healthbridge Nova in your browser and sign in with your practice credentials. -
Find or create the patient
Before booking, search for the patient. If they are new to the practice, create their account using the Family Check medical aid lookup or by entering their details manually. -
Book the appointment
On the Calendar, click an available time slot, select the patient, set the visit type, and save. The system automatically triggers a benefit check when the appointment is saved. -
Review the benefit check result
Open the appointment to view the benefit check response, green means fully covered, yellow means a co-payment applies, red means not covered. Let the patient know before the consultation if a co-payment is required.

Check the patient in
When the patient arrives, click their appointment on the Calendar and click 'Check in'. This notifies the provider that the patient is ready and updates the appointment status.
Walk-in? Click 'Add walk-in' on the Calendar toolbar to add a patient directly to the queue without a prior booking. -
Consultation happens
The patient sees the provider. No action required in Healthbridge Nova at this stage. -
Check the patient out and capture the invoice
After the consultation, click the appointment on the Calendar and click 'Check out'. A prompt asks whether to create an invoice now, click 'Yes' to open the invoice capture screen with the appointment details pre-filled.
Add the diagnosis code, tariff codes, and any medicines or consumables. Click 'Submit' to send the claim to the medical aid, or save as cash if the patient is paying privately. -
Collect payment at reception
If the patient is paying a co-payment, full cash amount, or settling an outstanding balance at the desk, record it now. Open the patient's account, click 'Patient payment' in the sidebar, enter the amount and payment type, and save.

Work through the Inbox
Check the Inbox before closing for the day. Work through any invoices awaiting submission, fix and resubmit rejected claims, and acknowledge incoming medical aid remittances.
